Effective date: September 12, 2026. This policy describes practices for the Fuel The Dons nutrition management website and related portals operated for Madonna High School.
Who we are
Fuel The Dons is Madonna High School's school nutrition platform. It is used by parents/guardians, students (when provisioned), teachers, staff, cashiers, and nutrition office administrators to manage cafeteria accounts, meal activity, dietary forms, and related school nutrition operations.
Information we process
- Account details (name, username, email, phone, role).
- Student roster details (name, Madonna ID / barcode, grade, homeroom, photo, badge status).
- Cafeteria balances, meal charges, office deposits, and payment confirmation metadata from Stripe.
- Dietary restrictions, allergy information, food-safety form submissions, and related medical document metadata.
- Cafeteria agreement signatures (typed name, relationship, accepted terms, IP address, version).
- Operational records (menus, inventory, vendors) and administrative audit events.
- On cashier devices using offline mode: limited student scan data cached locally in the browser for continuity.
We do notstore full credit card numbers or CVV. Card payments are entered on Stripe's hosted Checkout pages.
How we use information
- Operate cafeteria accounts, meal charging, lunch ordering, and family funding.
- Support food safety (allergies/dietary needs) and cafeteria agreements.
- Authenticate users, prevent abuse, and maintain an administrative audit trail.
- Send transactional notices (for example deposits, agreements, security alerts) when email is configured.
Who can access information
Access is role-based. Parents generally see their linked students; administrators and cashiers see school operations data needed for nutrition services; teachers/staff receive more limited student views for workplace lunch and related school functions. APIs that expose student or family records require authentication and apply role scoping. Madonna High School staff access is governed by school policy in addition to technical controls.
Service providers
Depending on configuration, Fuel The Dons may use Vercel (hosting), a PostgreSQL host such as Supabase (database), Stripe (payments), and Resend (email). These providers process data only to deliver the service.
Retention
Recent student money activity is shown for about six months in family/office views. Older ledger activity remains available to authorized administrators through Financials archive tools and is retained in the school database unless the school directs otherwise. Account disablement (for example after graduation workflows) does not by itself delete historical cafeteria records.
Student privacy / education records
Student cafeteria records may constitute education records under school policy and applicable law (including FERPA for eligible students). Fuel The Dons implements access controls and logging to support school-directed, FERPA-aligned handling. This policy is not a substitute for Madonna High School's FERPA notices or directory-information designations.
Your choices
Parents can review linked student balances and activity in the parent portal, update food-safety information, and contact the nutrition office for account questions. Automated data-export tooling is not yet offered in the product UI; families may request assistance from Mrs. Morris or Mrs. Dalfol.
